The California Civil Rights Department issued preliminary guidance on pay data reporting templates for the 2025 reporting year. These templates include new data fields to report the number of weeks worked, employment type, and exemption status. Private employers with 100+ employees (including at least one in California) are required to submit this pay data report by the second Wednesday in May on an annual basis.
These templates should be used for planning purposes, as they may change. Review the FAQ released by the CRD. Make sure to keep all records gathered for this purpose separate from employee records. You should also watch the state’s pay data reporting site for any changes.
